Who is responsible

What this tool is
Voxa reads the comments left on an Instagram Business or Creator account’s own posts, drafts replies in the account owner’s voice, and either posts them automatically or holds them for the owner to review.
Access is by invitation. Anyone can ask for access from the home page, but an account is only created once the address has been approved.
If you asked for access
The request form stores the email address you enter, the date you asked, and whether the address has been approved. Nothing else. It is used to let you in and to email you when there is room, and for nothing else. It is never sold or shared.
Ask at the address above and your entry will be deleted. If you have not been approved, deleting it removes every record of you.
If you use Voxa for your account
What is stored for you:
- The Google email address you sign in with.
- Your Instagram handle, and an identifier for the connection. No Instagram access token is held by this tool.
- Captions, links and thumbnails of your own posts, and the comments left on them.
- Replies you have sent, both from Voxa and previously from Instagram itself, which are what your drafts are written from.
- Numeric representations of comment text, used to find your most similar past replies.
- Your settings: the FAQ document you write, the automatic reply setting, and the delay range.
- A log of every reply sent, every reply held back, and every draft you edited, kept so the tool can show you what it has been doing on your behalf.
If you left a comment
When Voxa reads a post’s comments it stores each comment’s text, the handle that wrote it, the profile picture shown next to it, and when it was posted. This is information you already published on Instagram, on the account owner’s post.
It is stored so the account owner can read and answer comments in one place, and so a reply can be written that sounds like them. Your comment text is sent to the providers listed below to draft that reply. It is not used to profile you, it is not combined with anything from anywhere else, and it is never sold.
The lawful basis is legitimate interests: an account owner answering comments left on their own posts. If you would rather your comments were not stored, contact the address above and they will be deleted, or delete the comment on Instagram and it will stop being read.
Who it is shared with
Comments are read from Instagram, and replies posted back to it, through Zernio, which holds the Instagram authorisation on this tool’s behalf. Comment text passes through Zernio in both directions.
Comment text and past replies are sent to Anthropic to draft replies and to classify them, and to Voyage AI to produce the numeric representations described above. Data is stored in a Postgres database hosted by Neon. The application is hosted by Vercel. Signing in is handled by Google.
These providers process data outside the United Kingdom, including in the United States. It is not sold, and it is not shared with anyone else.
Cookies
A cookie holds your sign in session. A second, short lived cookie is set while you connect Instagram, so the response can be matched to the request you started. There is no analytics, advertising or tracking of any kind.
How long it is kept
Comments, replies and settings are kept while the account is in use. Disconnecting Instagram on its own keeps them, so that reconnecting the same account resumes where it left off. Settings has a Disconnect and erase which clears the stored comments, replies and log immediately.
Access requests are kept until approved or until deletion is asked for. To have everything for an account deleted, contact the address above.
Your rights
You can ask for a copy of what is held about you, ask for it to be corrected or deleted, ask for processing to be restricted, or object to it. Write to the address above and it will be dealt with within one month.
If you are unhappy with the response you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes
This page is updated whenever what the tool does with data changes, and the date at the top moves with it.
